Attendee Experience Design: Agenda, QR, Notifications, and On-Site Flow

Four operational touchpoints that define attendee experience in congresses: mobile agenda, QR check-in, live notifications, and on-site wayfinding.

Attendee experience is no longer judged only by stage content. It is shaped by the digital and physical flow participants experience throughout the day.

1. Mobile Agenda & Program Follow-up

The agenda is the most used interface during a congress. Session details, room info, and updates must be visible in real time.

2. QR and Badge Workflows

Congestion at the registration desk directly affects first impressions. QR-supported check-in can significantly reduce waiting times.

3. Live Notifications

Room changes, session reminders, sponsor activations, and social program updates create more value when delivered at the right moment.

4. On-Site Wayfinding Flow

Digital systems should support physical venue flow. Room names, registration desks, and sponsor areas need a consistent language across signage and digital touchpoints.

Measurability

Which sessions were most viewed? Which notifications were opened? When did traffic peak? These signals strengthen operational design for the next edition.

At EventRobot, attendee experience is not a decorative layer; it is at the center of operations.
